Our client, a leading provider of facilities services in the UK, is seeking a highly organised and customer‑focused Quotations Administrator to act as the first point of contact for client work orders on a government contract.
This role plays a critical part in coordinating furniture, fixtures and equipment (FF&E) activity, ensuring requests are managed efficiently from initial receipt through to completion. You will work within a busy, fast‑paced environment where accuracy, responsiveness and strong coordination are essential to maintaining high service standards.
Working closely with internal departments as well as external suppliers and contractors, you will take ownership of work orders and quotations, ensuring all contractual processes are followed. The role requires resilience, adaptability and clear communication to support service excellence across a high‑volume workload.
Key Responsibilities
- Manage FF&E quotations from request through to submission for approval
- Submit approved quotations to the government client and process purchase orders
- Use Maximo to manage jobs from creation through to completion
- Liaise with contractors and suppliers to chase updates, documentation and completion details
- Process invoices and receipts through Coupa in line with contract requirements
- Manage a high volume of work orders, typically between 20–67 jobs per day
- Act as a central coordination point between internal teams, suppliers and contractors
- Maintain accurate records and ensure all work complies with contractual processes
Person Specification
- Experience using CAFM systems (Maximo preferred)
- Comfortable managing high‑volume workloads in a fast‑paced environment
- Strong coordination skills across contractors, suppliers and internal teams
- Confident handling quotations, purchase orders and approval processes
- Resilient and adaptable, able to work effectively within a challenging contract environment
- Strong communicator with a polite, professional and confident manner via phone and email
- Team player with a respectful and collaborative approach
- Quick learner, able to pick up new systems and processes efficiently
